Client Services & Catering Coordinator, Toronto’s Waterfront Area
About the Role
We are a premium office and meeting space operator located in downtown Toronto, seeking a professional, detail-oriented Client Services & Catering Coordinator to join our team. This hybrid role combines front-of-house client support with coordination of catering and hospitality services for meetings, conferences, and office clients.
The ideal candidate is highly organized, client-focused, and thrives in a fast-paced, hospitality-driven environment.
Key Responsibilities:
Client Services
Greet clients and guests in a professional, friendly, and polished manner
Answer phones, emails, and booking inquiries promptly
Assist with meeting room bookings, office client requests, and daily operations
Ensure meeting rooms and common areas are clean, stocked, and presentation-ready
Provide exceptional customer service to maintain a premium client experience
Coordinate with building management, vendors, and internal staff as needed
Catering & Hospitality Coordination
Manage catering orders for meetings, events, and office clients
Communicate with catering vendors to place, confirm, and adjust orders
Track catering schedules to ensure timely delivery and setup
Prepare meeting rooms with food, beverages, and required supplies
Maintain inventory of kitchen, coffee, and hospitality supplies
Ensure all catering setups meet company presentation standards
Administrative / Operational Support
Maintain accurate booking and billing records
Assist with invoicing related to catering and meeting services
Support event setup and breakdown when required
Help improve internal processes for client service and hospitality delivery
Qualifications
2+ years of experience in hospitality, coworking, office services, hotel, or event coordination preferred
Strong customer service and communication skills
Highly organized with strong attention to detail
Ability to multitask and prioritize in a busy environment
Comfortable using booking systems, email, and basic office software
Professional appearance and demeanour required
Ability to lift light catering supplies and move meeting room equipment when needed
Preferred Experience (Nice to Have)
Experience in coworking, conference centres, hotels, or serviced offices
Experience coordinating catering or events
Experience with OfficeRnD or similar booking software
